Move-in mail and package tips

Follow these steps to avoid delays, refusals, mystery holds, and returns during move-in.

Use your street address on every item

Use your dorm address for all mail and packages. The format below works best when entering orders with online retailers. View street address formats.

Do not send student mail or packages directly to the Owens Mailroom address. Use the street address and room number.

Submit tracking numbers in the Campus Resident Portal before items arrive

Enter all carrier tracking numbers into the Campus Resident Portal after the carrier provides the tracking number and before the package arrives. This helps Mail Services identify packages, correct address issues, and reduce delays, refusals, and returns.

A tracking number is required even when you entered all four points of address information when placing the order. Carriers and retailers may change, shorten, or leave off information on the final shipping label.

Standard Package

Use this option for normal packages.

Priority Package

Use this option for documents, medications, perishables, electronics, and perishable medications.

Important: Order numbers are not tracking numbers and will not help Mail Services locate your package. Enter the carrier tracking number from your shipping confirmation. FedEx packages: submit two Campus Resident Portal forms, one with the two leading 00s and one without the two leading 00s. If you have questions about tracking numbers, email studentpackage@vt.edu.

Add tracking to important mail, documents, and valuable items

Use a shipping or mailing option with tracking for documents, checks, cards with value, medications, perishables, electronics, and other important items.

Tracking gives Mail Services a way to identify the item if the label has incorrect information or if the item needs to be researched.

Avoid refusals, mystery holds, and returns

Packages with missing shipping label information may be refused upon arrival and handed back to the carrier.

Packages and mail with incorrect information may be placed in Mystery and held for seven days. These items must be claimed through the Campus Resident Portal using the tracking number. Unclaimed Mystery items are returned without notice because they are not tied to a student.

For Owens Mailroom and locker items, the seven-day pickup window starts when the ready-for-pickup notice is sent to the student's Virginia Tech email. If the item is not claimed within seven days of receiving that notice, it will be returned to the sender with notice to the student.

Best way to avoid problems: use the correct street address, include the room number, submit the tracking number before the item arrives, and pick up items as soon as possible after you receive notice that they are ready.

Time move-in shipments correctly

Mail and packages shipped ahead of move-in should begin arriving no earlier than Aug. 3, 2026.

Move-in is one of the busiest package periods of the year. Processing may take longer than normal due to high package volume. Bring critical items with you during move-in when possible, and order noncritical items early enough to allow processing time.

Student Package will email your Virginia Tech email. Please wait for that notice before pickup.

A carrier delivery confirmation usually means your item has likely arrived at Mail Services, but some carriers may mark items delivered before handing them to us.

Once Student Package processes your item, a pickup notice from Student Package will be sent to your Virginia Tech email with the correct location. Please check the location carefully. Your item may be at Owens MailroomOwens Mailroom lockers, or an outside student locker. Go to the location listed in your notice.

Pick up from Owens Mailroom with your Hokie Passport

Owens Mailroom regular academic-year hours are Monday through Friday, 8:00 a.m. – 7:00 p.m.

Residents must present their physical Hokie Passport in person to pick up items. No exceptions. Mail Services staff will scan the Hokie Passport, retrieve the item, and record the pickup.

Only come to Owens Mailroom if the notice sent to your Virginia Tech email lists Owens Mailroom as the pickup location.

Know the difference between Owens Mailroom lockers and outside lockers

Locker access depends on where the package is placed. Pay close attention to the location in the notice sent to your Virginia Tech email. Outside student lockers and Owens Mailroom lockers are different pickup locations.

After opening a locker, remove the item and close the locker door to complete the transaction.

Know how letter mail is handled

For letter mail, use your correct name, street address, and room number. Add tracking for documents, checks, gift cards with value, or other important items.

If letter mail does not have tracking and you need help locating it, submit an inquiry by emailing studentpackage@vt.eduwith the sender name, expected delivery date, delivery address, and a description of the item.

Using the correct name, street address, and room number helps Mail Services process letter mail correctly. If mail needs to be reviewed, it may be held in Mystery for up to seven days before being returned to the sender.

Use the correct process for questions and outgoing mail

For questions or problems with student mail and packages, email studentpackage@vt.edu. To protect student privacy, student-specific issues cannot be resolved by phone.

Sending items off campus

Mail Services can assist with boxed items that already have prepaid labels and with stamped letters dropped off at Owens Mailroom.

Supplies and postage

Mail Services does not provide or sell boxes, packing materials, envelopes, or postage stamps. Use the University Bookstore or a local shipping provider for supplies or postage.
